We’ve all been there. You need to cancel something, you dread making the call, and it feels like you’ve just signed up for an epic battle against a faceless corporation. You navigate a maze of automated menus, get transferred multiple times, and then spend what feels like an eternity fending off “retention offers” you don’t want. It’s an infuriating experience designed to make you give up.

This is exactly the kind of frustration that drove us when we started Tracer Golf. As a new company in the automated golf industry, we didn’t have any existing standards to follow. So, we looked at every detail, big and small, from the ground up—and that included our cancellation policy.

Our First Attempt at a Better Policy

Initially, our policy offered a full refund for cancellations made 24 hours in advance, with requests handled through an online form. We thought this was a good start and it became an industry standard.

However, we knew it wasn’t the best policy for our customers. Technology limitations kept us from doing more, and the fact that a 24-hour window was still too long for many people lingered with us for years. We never stopped thinking about how we could improve the experience. We asked ourselves questions like:

    • How can we respond to requests faster?
    • How can we make this process easier for everyone?
    • What if someone has a last-minute change of plans?

Our Current Policy: It’s “Better Than Most”

When we finally developed our own custom booking app and platform, upgrading the cancellation process was a top priority. We wanted to create a policy that put the customer first.

We looked at a lot of data—from how far in advance people book to when they actually cancel—to figure out the best policy. Our decisions were based on a simple idea: if we can rebook the bay, why wouldn’t we give you a full refund? We’re not here to take money for services that aren’t provided. Our mission is to help golfers practice more and improve faster.

Our cancellation policy is on this page, but here’s how it works:

  • Full refund for cancellations up to 3 hours before your start time.
  • 50% refund for cancellations made between 3 hours and 15 minutes before your start time.
  • Automatic and immediate confirmation of your cancellation.

We even added the 50% refund option to help with those last-minute cancellations, providing you with a benefit while helping us maintain our low prices. Yes, we might take a small loss sometimes, but it’s worth it to us to provide a better experience. We know life happens, and this gives you a little something back while helping us cover some of the cost if the bay goes unused.

Peace of Mind on and Off the Course

It may seem like just a cancellation policy, but we believe these details matter. Golf is supposed to be fun, and that includes a stress-free booking experience. A calm mind helps you play better, and having a cancellation policy you can trust gives you that peace of mind. We’re thankful for the opportunity to do things differently.
